Rules That Students Going to Exchange Program Should Consider When Submitting Their Transcripts

1- You must bring your original transcript, your learning agreement (LA), Exchange Form (Change LA) and ITU Faculty Board Decision (indicating that you are on leave) to the Registrar's Office.

2- If the language course you will take in the host institution is not in the group of courses given at ITU (ALM, FRA, ITA, ISP, JPN, RUS, CIN), you can write either ING 103ES Intercultural Citizenship in International Education or ING 103SC Science Communication: Theory and Practice for Engineers as the ITU corresponding courses. These courses are in the scope of Department of Humanities and Social Sciences (ITB) courses. As of 2018-2019 Spring semester (including this semester), ALM, FRA, ITA, ISP, JPN, RUS, CIN courses have also been included in Department of Humanities and Social Sciences courses (ITB).

3- On the Learning Agreement form, if the courses except for the courses deleted with Change LA and added with Change LA are not included in the transcript, the grade of these courses will be entered as FF.

4- Please note that the misspelled course code or name on the LA or exchange form must be corrected and initialed by the department coordinator.

5- Please note that M (Exempt) of the course grade recorded in the transcript of the Exchange Program as PASS and the FAIL grade will be processed as FF on the ITU transcript.

6- If the course to be taken from the host institution does not have an ITU equivalent, for the elective courses to be written in return for ITU, either X semester elective should be written as MT / TM / TB / ITB / EB or MT / TM / TB / ITB / EB or as MT/TM/TB/ITB/EB. In case of taking an FF from these courses, any course to be taken from the relevant elective group after returning from the Exchange Program can be requested to be counted for the failed course in the Exchange Program with a petition to be given to the faculty after the valid grade is obtained at the end of the term. If an ITU course is written with a code such as ISL 478E as a corresponding elective course and this course is failed, if this course is not opened until the graduation period (including graduation period) on the return of the Exchange Program (it means that the course is opened even if it overlaps with another course), The course taken from the same group as this course (MT / TM / TB / ITB / EB) and successfully achieved can be requested to be substituted for the FF course in the Exchange Program with a petition to the faculty.

7- The grade of the graduation project with the code of 492 / 492E taken in the Exchange Program is the grade that the student will receive from her/his defense at ITU. (The condition of getting a graduation project (492 / 492E) in the Exchange Program: To have been registered to all courses at least once or to have fulfilled this condition with the courses taken in the Exchange Program.)

8- According to the decision of the University Senate, the courses taken from the host university are processed in English code in ITU regardless of their language.

9- Please make sure that your exchange program transcript includes the grade conversion of the university you attended.

10- If multiple courses taken in the Exchange Program are counted as one single course at ITU, the weighted grade point average of these courses is processed as the grade of the course in ITU.

11- A course that is not included in the lesson plan cannot be taken. If a course that is not included in the lesson plan has been shown as corresponding, this lesson must be deleted and a lesson included in the plan must be written. If a lesson that is not included in the plan is taken and is unsuccessful and is failed, compensation for this lesson cannot be made if it is not included in the plan.

12- A course passed with AA at ITU, in accordance with the Senate Decision, (in the Exchange Program) cannot be taken again.

13- Exchange Program leave decisions expire as of the date specified in the academic calendar of the semester they are valid. The first course registrations after the semester the leave expires can be made online, even if the student's education in the Exchange Program continues.

14- The course for which the prerequisite is not met should not be taken during the Exchange Program period.

15- If the courses taken form a class or course prerequisite for the courses in the first course selection after returning from the Exchange Program and the course counting does not reach the course selection, this course / courses with a prerequisite error in the week of add / drop week specified in the academic calendar can be taken in return for a contract to be signed in person at the Registrar's Office or through the person for whom a notarized power of attorney has been given. The quota of this course (s) to be taken in return for the contract must be available or the student must be given permission by the faculty to take it.

16- The last semester grades of the students whose Exchange Program covers a period of 1 year, who made the same course corresponding for both the first and second semesters, will be considered valid (course repetition).

For example:

Fall Term Grade Spring Term Grade

Both courses will be processed on the basis of their semesters and the ISL 101E course with a final grade of FF will be valid.
